Start with the event — everything else hangs off it

Add a market, festival or catering booking with its venue, pack-in time, site fee and the stall you're taking. CartFlow checks the stall isn't double-booked and warns you if a certificate expires before the date.

  • Stall allocation with conflict detection across multiple carts
  • Site fees, deposits and organiser contacts stored on the event

The whole walkthrough, step by step

Step 1

Start with the event — everything else hangs off it

Add a market, festival or catering booking with its venue, pack-in time, site fee and the stall you're taking. CartFlow checks the stall isn't double-booked and warns you if a certificate expires before the date.

  • Templates for recurring markets — one click to clone a whole season
  • Stall allocation with conflict detection across multiple carts
  • Site fees, deposits and organiser contacts stored on the event

Step 2

Roster the crew and see the wage cost before the day

Offer shifts to your casuals, track who accepted and watch the labour cost update live against expected takings. Contracts and tax declarations live on the same profile.

  • Shift offers with accept/decline from the staff app
  • Live labour cost and labour-as-a-percentage-of-sales
  • Signed contracts, tax forms and documents per staff member

Step 3

A packing list that builds itself from your menu

CartFlow reads the menu you're running, the recipes behind it and last time's learnings, then produces a tick-off list your crew can work through on their phone at 5am.

  • Generated from recipes, event templates and previous events
  • Tick off on mobile — synced across the whole crew
  • Add one-off items and they're remembered next time

Step 4

Stock that deducts itself when you sell

Link recipes to products and every sale draws stock down automatically. Par levels tell you what to reorder, and post-event counts keep the numbers honest.

  • Par levels and reorder alerts before you run dry mid-service
  • Post-event stock counts keep on-hand numbers honest
  • Auto-built shopping lists from reorder points and upcoming menus

Step 5

Sales in from your POS, or logged in seconds

Connect Square, SumUp, Zettle, Shopify, Clover, Toast, Lightspeed or Loyverse — or upload a takings CSV, or cash up in the app. CartFlow keeps the card reader you already trust.

  • POS integrations plus CSV import and manual cash-up
  • Per-product and per-event sales, not just a daily total
  • Cash-up flow that reconciles float, cash and card

Step 6

The number nobody else shows you: profit per event

Food cost, packaging, wages, site fee, fuel — subtracted from takings automatically. Then every event is ranked by profit per hour, so you know which bookings to keep.

  • Net profit and margin per event, product and stall
  • Profit-per-hour ranking across your whole season
  • Break-even calculator on your recipes so pricing covers cost

Step 7

Season reports and clean handover to your accountant

Year-over-year trends, GST summaries and exports straight to Xero or CSV — plus a Zapier connection for HNRY and anything else in your stack.

  • Year-over-year revenue and margin trends
  • Xero invoices and bills, GST summaries and CSV exports
  • Zapier hooks so sales and expenses flow onward automatically
