Getting started
Welcome to CartFlow — the 10-minute setup
Create your account, add your business details, log your first event and add your first sale. That's the whole onboarding, and it takes about ten minutes. From there, add stock, staff and integrations as you need them.
Add your first event
Open the Events page and click New event. Pick a date, a venue and a stall. Attach a packing list if you have one. That's it — you can start logging sales against it immediately.
Log your first sale
Open an event and tap Sales. Add a sale manually, or open the POS view for tap-to-sell. Cash and card sales are both supported; split-tender is available if a customer pays half and half.
Invite a staff member
Settings → Team → Invite. Enter their email; they'll get a link to set a password. Choose their role — staff, manager or admin — which controls what they can see and change.
Integrations
Connect Xero
Settings → Integrations → Xero. Sign in with your Xero account and choose which accounts sales and expenses sync to. Reconciliation becomes a two-minute job.
Connect Zapier (and Hnry)
Settings → Integrations → Zapier. Create a Zap in Zapier that catches CartFlow webhooks, paste the URL back into CartFlow, and choose which events (sale.created, expense.created, contract.created) fire. Point the Zap at Hnry for automatic tax.
Features
Create a menu QR code
Menu → Build. Add items with prices and photos. When you're happy, hit Publish. Every business gets a public menu URL and a printable QR code you can stick on the truck.
See profit per event
Open any event, scroll to the Cash-up section. CartFlow shows takings, food cost, wages, fees and net profit automatically. Log costs against the event so the number is honest.
Use packing list templates
Packing lists → New template. Add items you always take. When creating a new event, apply the template with one tap.
Trade offline at markets with no signal
Nothing to configure. If your device loses connection during trading, sales are captured locally and sync when signal returns. Look for the sync banner to confirm everything landed.
Turn on a loyalty program
Customers → Loyalty. Choose stamp count and reward, publish, and print the QR at your counter. Customers scan and collect stamps in their browser — no app to install.
Export your data
Every page with a table has an Export CSV button. For a full data export, contact us — we'll send you a machine-readable dump of your entire account.
Billing
Upgrade or downgrade your plan
Settings → Billing. Pick a plan, enter card details on the secure Stripe form, and the upgrade is instant. Downgrading takes effect at the end of your current billing period.
Cancel your subscription
Settings → Billing → Manage subscription. Cancellation is one click and takes effect at the end of the current period. Your data stays available if you re-subscribe.
Troubleshooting
Reset your password
On the sign-in page, click Forgot password. You'll get an email link within a minute — check spam if it doesn't appear.
Sync isn't happening
Check your device has signal. Force-refresh the app. If the sync banner still shows queued sales, contact support with the number of queued items — we can help resolve without data loss.
A sale is missing after an event
Open the event and check the Sales tab in All view — the sale may have posted to the wrong event. If truly missing, contact support with the approximate time; we can restore from event logs.
Frequently asked questions
Is CartFlow free to start?
Yes. The Starter plan is free and covers one trader, events, tasks, a basic sales log and a menu QR code. Upgrade when you outgrow it.
Does CartFlow work offline?
Yes. Sales, stock adjustments and event notes all work with no signal. They sync automatically when you're back in range.
Can staff use CartFlow too?
Yes. Invite team members with their own role. Staff see their shifts and tasks; managers see the whole business.
Does it integrate with Xero and Hnry?
Yes — Xero natively, and Hnry via Zapier. See the Integrations guides above.
Where is my data stored?
On secure cloud infrastructure with daily backups. Export to CSV at any time.
Do I need any hardware?
No. CartFlow runs in any browser on any phone, tablet or laptop. You can connect your existing card reader — you don't need a new one.
