How to hire event staff and contractors the right way
A guide to hiring event staff, casual crew and contractors for festivals and markets — contracts, compliance, briefing and payment.
Events rely on a mix of employees, casual crew and specialist contractors — security, staging, waste, power, catering and more. Each group has different compliance needs, and cutting corners on hiring creates liability, no-shows and poor performance.
Decide employee vs contractor early
Misclassifying workers is a common mistake. Employees usually work under your direction, at times you set, using your tools. Contractors run their own business, supply their own equipment and invoice you. If in doubt, get professional advice — the penalties for getting this wrong can be significant.
Use written agreements for everyone
Even casual event staff should have a short contract or engagement letter covering role, hours, rate, payment terms, cancellation policy and any key expectations. Verbal agreements fail when memories differ.
Check licences and insurance
Security providers, food handlers, electricians, forklift operators and anyone serving alcohol need appropriate licences and often their own insurance. Ask for copies before the event, not on the day.
Brief on safety, not just tasks
Every hire should know the emergency procedures, where first aid is, who their supervisor is, and what to do if they see something unsafe. Task training is expected; safety awareness is often skipped and is just as important.
Plan payment timing
Contractors and casual staff often expect prompt payment. Agree terms upfront and stick to them. Late payment damages your reputation faster than almost anything else in the events industry.
Build a reliable crew list
Keep a record of people and contractors who performed well. Events are relationship businesses, and a dependable crew list is a genuine competitive advantage for future events.
